Quick answer
Start by setting the subcontractor permissions. Then upload the safety briefing document and add a quiz if needed. Use briefing groups to bring together different language versions of the same briefing.
The record shows who briefed whom and when, and confirmation can be signed digitally. Advanced briefings also log the process and result.
Configure permissions
Subcontractors need the permissions “Can view briefings” and “Can complete briefings independently” to view and complete the briefing themselves.

- Go to Settings → Permissions table.
- Enter “briefings” in the search field.
- Click “Edit” in the top right.
- In the “Subcontractor” column, enable both permissions: “Can view briefings” and “Can complete briefings independently”.
- Click “Save”. In the overview, a blue X indicates an enabled permission, as shown in the screenshot.
Upload the safety briefing document
Once permissions are configured, upload your content. Each briefing contains the document in a particular language.

- Open “New briefing”: Go to Settings → Briefings and click New briefing in the top right. The following dialog opens:

- Enter a name and language: Enter a descriptive Name and select the Language of the document.
- Upload the document: Click the upload area or drag your file into it. JPG, PNG and PDF files are supported.
- Save the briefing: Click + More options to display additional settings. Then click Save.
- Add other language versions: Create a corresponding briefing for each additional language. You can bring these together in a briefing group.
Create a safety briefing quiz
Use a quiz to check whether participants have understood the content. Add the questions and answers first. Then set how many questions to ask and how many answers must be correct.
Under Settings → Briefings, open the safety briefing you want to use. Select Questions on the left.

- Click “New question”.
- Enter the question and the possible answers. Set which answers are correct.
- Choose whether participants can select one or more answers.
- Save the question. Repeat for the other questions.
Next, open Edit → Basic data. Click “Edit” in the top right to change the settings.

- In “Number of questions asked”, enter how many questions the quiz should include.
- In “Minimum correct answers”, set how many answers must be correct to pass. For example, with 4 questions and 3 required correct answers, participants must answer 3 out of 4 questions correctly.
- Select “Signature required” if participants should sign the briefing.
- In “Validity in days”, enter when the briefing must be repeated. Leave it blank for unlimited validity.
- If you have already created a briefing group, select it here. The next section explains how to create a group.
- Click “Save”.
Set up briefing groups
A briefing group brings together related briefings, such as the German and English versions. Employees only need to complete one of these versions. Use the group to set shared defaults for language, validity and the quiz.

- Under Settings → Briefings, go to “Briefing groups”. Click “New briefing group” and enter a name.
- Choose the default language. It is used if the preferred language is unavailable.
- Set the validity in days. Leave it blank for unlimited validity.
- Click “Save”. Then open the relevant briefing and select the group under Edit → Basic data.
